Dear New Owners/Residents,

Congratulations on your move into the community. The Board of Directors of Oxford Mews Condominium Corporation and its residents would like to welcome you to the area and help you get acquainted with your new condo.

Oxford Mews is composed of 38 units and it is important that all of us do our part to make this a great community. A few simple considerations and rules will facilitate your participation in Oxford Mews. Please review the by-laws carefully (and provide them to renters if applicable).  

If you have any questions please do not hesitate to contact one of the Board members on the list provided. Members of the Condo Board are also the people you will want to contact if you have an emergency, such as sewage problems/leaks in your roof/basement. Condo Board meetings are held once per month at various Board Members' homes. Board Members are elected at the Annual General Meeting held once per year at a hall within the community. The Board also tries to provide a regular "Mewsletter" outlining current issues and events.

Upon arrival:

Personal Information: Please provide the Board with the name of each resident including p/t residents (i.e. students) and animals. This is for safety/insurance purposes. We require your contact information – telephone number and e-mail address. Ensure that either a Board member has an extra key to your unit or has the contact information for someone who does, in case of an emergency. Your information will not be shared with anyone outside the complex without your approval (i.e. maintenance workers), nor used for promotional purposes.

Parking: Each unit is assigned one parking spot in either the north or the south parking lot. Each parking spot has an electrical outlet. You control the power to the outlet from the electrical box in your unit. If you have more than one car, you must park the second car on the street. Many of the owners/residents that have a condo facing the street park their vehicle outside their home, so please be courteous when choosing a spot. The electrical outlet can be controlled from your breaker box in the basement of your unit. Please do not allow your guests to park the parking lot - except in your own spot.

Pets: You must seek prior permission in writing form the Board of Directors to have a cat or a dog. This is a privilege and is not automatically approved. A $100.00 fee must be paid in order to keep the pet on Condo Property. The pet must be on leash when on Condo Property outside of your courtyard and you must curb your pet from excessive barking, running around the complex, jumping up on people, and doing its business on the grass, etc. It is necessary to clean up after your pet and to avoid damaging the lawn.

Condo Fees: You will be expected to pay your Condo Fees for the remainder of the year when you move in. New fees are effective Feb.1st each year and you must make arrangements before this date for your entire year's payments. Post dated cheques, direct deposits and e-transfers are accepted. Please make arrangements with the treasurer. 

Satellite Dishes: If you have a subscription to a satellite company for your television viewing needs, please keep in mind that the dish cannot be attached to the roof or walls of the unit and must be placed out of view. This means below your fence line. Any cords/connections must also be out of sight. No cables or wires are permitted over the buildings.

Garbage: There are two large garbage bins for your waste disposal needs: one in the North parking lot and one in the South parking lot. These bins are not for the disposal of household appliances/building supplies/furniture or any other large items. These will be your responsibility to get to the dump through your own means. These garbage bins are also only for the use of Oxford Mews residents. Feel free to point these rules out to people you see breaking them. When larger items are left by the bins, it costs approximately $100 to have them removed and this comes out of our condo fees and adds up each year. Your help in this issue is appreciated.

Recycling: There are bins for recycling beside the garbage bins. Please familiarized yourself with what can be recycled and what can't and use the bins. 

Composting Food & Yard Waste: As of November 2017, the City requires all multi-family dwellings to separate compostables and deposit in appropriate containers - beside the garbage bins or in the garden compost bins. If this is not done, we will be subject to a fine - which will be reflected in your condo fees.

Renovations and Modifications: The exterior of the complex is repainted every couple of years, the cost of which is covered by your condo fees. Any visible modifications to the outside of your Condo must have the prior approval of the Board. Window replacement is the responsibility of the Owner and the proposed plan must be submitted in writing to the Board for prior approval. Internal structural changes/renovations must also be submitted in writing to the Board for prior approval.

Insurance: All owners are expected to provide the Board with their insurance company information. You are required to have comprehensive condominium insurance to cover unit contents and upgrades. We carry $8 million dollars in insurance for the (original) structure only. If you have renters, they must carry their own insurance.

Spring:

Garden Plots: Garden plots on the east side of the property are available for residents’ use. If you are interested in having a plot, contact a Board member. Many just plant flowers while others will plant vegetables. There is a small fee (usually $10/season) to help pay for the water costs. Hoses and basic tools are provided, however they must be returned after each use. Please keep your plot tidy throughout the season.

Cleaning: The parking lot in the North and the South, as well as the street in front of the Condos, will be cleaned and a notice will be placed in every unit's mailbox asking people to move their vehicles to accommodate the cleaning. Your patio, however, is your responsibility to keep tidy/safe for mailmen and others visiting your home.
Eaves will be cleaned.

Summer:

Flowers/Plants: You will notice that many residents of Oxford Mews decorate their patios with flowers/plants during the summer. Feel free to join them, however maintenance of any flower beds inside your patio is your responsibility. You will also notice many residents helping to beautify the condo by placing flowers/plants near the pit and entrances to the inner courtyard. These people have permission from The Board to do this, so before you place anything outside your property, please request permission from the Board.

Sprinkler System: An irrigation system is in place in the inner courtyard and on the east side of the Condos to water the grass and communal flower beds. They will come on early in the morning. If you are returning home late or leaving early, please keep this in mind. Your patio is equipped with an outside faucet to water your plants. The valve for the faucet is located in the basement of your unit: in the ceiling close to the outside wall of the 2-bedroom units and, in the 3-bedroom units, the valve is in your crawlspace.

Landscaping: Privately-contracted landscapers are employed to maintain the grounds of the complex. They will cut the grass and handle the watering of areas not covered by the automatic irrigation system. They will also clean up any debris from storms and any clutter in the parking lots and pit area; however, individual garden plots in the rear of the condo will not be maintained by the landscapers. Common flower beds are maintained by contracted landscapers. Flower beds adjacent to units are to be maintained by the unit owner (or renter) and must be in keeping with the overall ambiance and look of the complex. Please discuss any flower bed questions with a member of the Board.

Social Events: Occasionally, during the Summer months and into the Fall, "pit parties" will be held in the center courtyard. A bonfire and food will generally be provided but feel free to bring a dish to share. Flyers will be delivered door to door inviting residents to these events. Non-resident owners are also welcome. This is a good opportunity to drop by and meet some of the neighbors. The pit is for the use of all residents. However, be courteous, keep the noise down after 10 PM (noise carries easily to the bedrooms surrounding the courtyard), monitor the fire at all times (our buildings are wooden structures!) and clean up after yourself. If you plan on having more than one or two people fireside, you must first request permission from the Board.

Fall:

Leaf Cleanup: The same landscapers that keep the greens tidy during the summer will be responsible for leaf clean up in the fall. Again this does not include your personal patio and you may be asked to move your vehicle to accommodate a thorough cleaning. Eaves will be cleaned of leaves.

Garden Plots: If you have a personal garden plot in the rear of the complex, it is required that all plants be removed by October 31st. If it has not been completed by then you will be charged for its clean up.

Outside Water Faucet: Nearing the end of fall it is imperative that you turn off your outside faucet so the pipes do not freeze and burst. The Condo complex is not responsible for any damage incurred by forgetting to do this.

Smoke Alarms: Please replace the batteries in your smoke alarm each Fall as recommended by the Fire Department.

Winter:

Snow Removal: Snow removal on the sidewalks/parking lots of the Condo will be taken care of by an outside contracted company so you only need to worry about keeping the snow clear from your own patio and/or front step. Buckets of ice-melt will be placed in several locations around the complex for your use.

Parking Spot Plug-Ins: Your parking stall is equipped with a plug in for your car. The fuse box in your basement is used to activate/deactivate this plug in. If you use an extension cord to plug-in to the front of your unit, please keep the safety of pedestrians in mind make sure your cord is visible/out of the way and remove it from the sidewalk when not in use.
